Why this role matters
In this role, you will help create a workplace experience that enables Ivanti employees, customers, and visitors to do their best work. As part of our Global Workplace Solutions (GWS) team, you will ensure our Australia office remains a safe, welcoming, and well-organized environment that supports productivity, collaboration, and business success.
Your work will have a direct impact on employee experience, operational efficiency, and the smooth running of day-to-day office activities. From supporting workplace operations and vendor relationships to coordinating meetings and welcoming visitors, you will play a vital role in keeping our workplace running seamlessly. This is a part-time, in-office position working Monday to Friday from 8:00 a.m. to 12:00 p.m.
What you'll do
- Serve as the primary on-site point of contact for workplace operations, ensuring the office runs smoothly and efficiently.
- Support employees, leaders, and visitors through exceptional customer service, meeting coordination, and day-to-day office administration.
- Manage workplace services, including security, cleaning, waste management, catering, postage, parking, and office supplies.
- Coordinate meeting room schedules and support the planning and execution of onsite meetings and events.
- Partner with the local property management company and third-party vendors to maintain high workplace standards.
- Support VIP visits and provide a professional and welcoming experience for employees, customers, and guests.
- Identify opportunities to improve workplace operations, enhance employee experience, and support cost-effective facilities management.
What you will bring
Required
- Up to 2 years of experience in facilities coordination, workplace operations, office administration, or a similar role.
- Strong customer service mindset with a proactive and solution-oriented approach.
- Excellent organizational skills and the ability to manage multiple priorities simultaneously.
- Strong verbal and written communication skills.
- Ability to work independently while collaborating effectively with broader teams.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
- High level of professionalism and discretion when handling confidential information.
Preferred
- Experience supporting a global organization or distributed workforce.
- Experience managing vendor relationships and coordinating workplace services.
- Familiarity with workplace health, safety, and compliance practices.
- Experience supporting executive or VIP visitors.
