Key Responsibilities
- Administrative and Operational Support:
- Assist with gathering requirements from Asia stakeholders and providing administrative support for market research tasks. Support the preparation of documentation for RFQs/RFPs by compiling technical specifications and commercial terms as directed. Provide clerical assistance during the vendor evaluation process and help maintain documentation throughout the selection and onboarding phases, ensuring all compliance records are accurately filed.
- Maintain and update comprehensive records for Asia suppliers and contracts across platforms like Vendr, ensuring all product information, quotations, and compliance documentation are accurate and current.
- Assist in the review of new vendor contracts to ensure payment terms align with company standards and payment run schedules, helping to prevent delays in processing.
- Assist with the implementation of global procurement policies, workflows, and strategies within the Asia/local region by supporting the localization of documentation and technical specifications.
- Act as a junior point of support for the rollout of global procurement workflows to Asia stakeholders, helping to communicate changes and ensuring that local procurement activities maintain strict adherence to overarching global standards and compliance requirements.
- Liaison and Coordination Support:
- Support internal departments by providing basic procurement guidance and administrative help as directed by the manager.
- Schedule regular check-ins with key suppliers and provide administrative support for quarterly business reviews involving internal stakeholders.
- Coordinate with the accounts payable team to ensure supplier invoices are correctly documented and submitted for timely processing.
- Transactions Processing and Record Keeping:
- Provide support in raising Purchase Orders (POs) and maintaining accurate transaction records for the procurement team.
- Assist in resolving administrative tickets assigned to the procurement team under guidance.
- Manage the contract procurement lifecycle by tracking service usage data, goods delivery, and proactively collecting missing documentation from contract owners.
- Help document issues or escalations from stakeholders and suppliers for review by senior team members.
- General duties:
- Develop a thorough understanding of the company’s spend policy and procurement workflows to provide clear, basic explanations to stakeholders and ensure all activities maintain compliance with established procedures.
- Collaborate with internal business units and stakeholders under the guidance of senior team members to facilitate seamless day-to-day procurement operations.
- Support initiatives to enhance efficiency and standardization of procurement activities by assisting with documentation updates and process tracking.
- Assist in the regular review of Asia spend profiles, contributing data collection and basic analysis to support the team’s cost optimization efforts.
- Build trusted relationships with business stakeholders across Asia.
- Challenge business requirements where appropriate to reduce unnecessary spend.
- Provide procurement advice throughout sourcing activities.
- Help to drive stakeholder adoption of procurement processes.
- Act as a proactive procurement representative for assigned business functions and Asia region, building trusted relationships and providing advice to drive process adoption and cost optimization.

- Basic understanding of procurement principles and a strong interest in supply chain management
- Strong organizational skills with the ability to support senior team members in data gathering and document preparation
- Proficiency in both English and Chinese, with clear written and verbal communication skills
- Professional demeanor when coordinating with internal stakeholders and external vendors
- Ability to handle administrative multi-tasking and prioritize support duties effectively
- High level of accuracy and attention to detail for maintaining records and processing orders
- Willingness to work in a fast-paced environment and meet transactional deadlines
- Quick learner with the ability to adapt to new procurement software and office tools
- Proactive attitude toward problem-solving and escalating issues to the team when necessary
- A reliable team player who demonstrates a strong commitment to company policy and compliance
