Description
Safety Worxs is seeking a detail-oriented, Spanish-English bilingual Administrative Assistant with previous customer service skills to join our on-site construction team in Taylor, TX. This role requires a proactive professional who thrives in a fast-paced environment, managing high-volumes of data entry, and office management. The ideal candidate will have strong organizational skills, impeccable attention to detail, excellent communication abilities, and proficiency in Microsoft Excel.
The hours will be between 6AM - 6PM including a 1 hour lunch. 1-2 days of the week will include 1-2 OT hours.
Responsibilities:
- Oversee the issuance, renewal, activation, and deactivation of site access badges in compliance with company’s security protocols.
- Maintain accurate and current records in the badging system.
- Ensure all personnel have completed background verification, orientation, and required safety training prior to badge issuance.
- Manage the process for lost, damaged, or stolen badges; ensure documentation and incident reporting are completed.
- Track badge expirations and coordinate timely renewals.
- Maintain organized digital and physical files of all badging forms, photos, and authorization records for audit readiness.
- Support audits and investigations related to access control or security incidents.
- Prepare weekly and monthly reports as needed.
- Serve as the main point of contact for all badge-related inquiries from employees, contractors, vendors, and visitors.
- Collaborate closely with HR, Safety, and Client Security to resolve access issues promptly and professionally.
- Maintain inventory of badge supplies (cards, lanyards, holders, printers) and ensure operational readiness.
- Identify opportunities to streamline the badging workflow and improve efficiency and customer satisfaction.
- Collect, track, and submit large volumes of safety data using Excel and other reporting tools.
- Communicate with field personnel and management to ensure accurate and timely data reporting.
Qualifications:
- High school diploma or equivalent.
- English/Spanish bilingual is required
- 2-3 years of experience of strong data entry, customer service or administrative support.
- Strong attention to detail and organizational skills.
- Excellent communication abilities.
- Ability to work independently and proactively solve problems.
Preferred:
- Korean/English Bilingual
- Local to Taylor, TX
- Experience in a safety-related administrative role, construction, or industrial environment.
